The Admin Support works together with the Project Director Business and the Project Director Asset to coordinate schedules, report out meetings, track official communication, follow-up assignments, coordinate external communication.The Admin Support is above all responsible for the quality of the written communication, whether that’s internal, external, formal or ad hoc. Coordination will be needed in PLT Expansion Team, HHLA PLT Italy (English & Italian) and HHLA Headquarters in Hamburg.

What you can expect

  • Align Project Director Business & Project Director Asset schedule
  • Align Project formal communication (reports/meeting notes/letters/etc.)
  • Align Project internal communication (reports/meeting notes/etc.)
  • Manage and moderate the project team’s regular meetings (e.g., weekly catch-up, management meeting…)
  • Coordinate Project Office affairs
  • Welcome, meet & greet official stakeholders
  • Translation of documentation
  • Other tasks on instruction by the reporting manager(s)
  • Actively report improvement opportunities to your direct manager.

What you bring to the table

We’re looking for a social and support oriented person that can cooperate with the entire office while supporting Project Director Business and Project Director Asset. The person is professional and accurate in all tasks given and in welcoming towards all visitors & stakeholders. The person is very accurate in their spoken and written communication.

  • Good English and Italian (German is a plus)
  • Experience (1+ year(s)) in corporate environment
  • Able to multi-task and perform under pressure
  • Professional at all times with a social nature
  • Self-starter that can deliver with minimal guidance
  • Ability to network within Expansion Team – PLT – HIG and other organizations
  • Good communicator
  • Timely and available – within reason – beyond office hours
  • Degree in Law/Business/Languages or related

The ideal candidate would have a valid EU working permit and would be willing to relocate to Trieste in short notice.
